What to post to Instagram stories as a Wedding Planner 

If you’re a wedding planner I know you are juggling client work, venue visits, creating timelines and coordinating wedding days. But you know that you should still be staying active on social media and that includes posting to your Instagram stories. 

But chances are you are constantly stuck with what to post. It’s not that you don’t have the content, it’s that you don’t know how to turn what you’ve already got on your phone camera roll into something that connects, builds trust with your audience and makes someone think “I need to book them.”

In today’s wedding market couples are not short on wedding inspo, so they aren’t just looking for pretty wedding photos. They’re looking for reassurance in who they’re hiring and they want to know:

  • What is your creative background?
  • What does your planning process look like?
  • How involved are you with making decisions?
  • How do you save them time and stress?
  • What does it feel like to have you there on the day?
  • What makes you different from other wedding planners?

How to plan your Instagram stories as a wedding planner

One thing I always recommend is splitting your stories into two types: pre-planned and on the go content. Because trying to come up with content in the moment, especially during wedding season, is where most planners get overwhelmed and become inconsistent with posting stories. 

 

Your pre-planned stories 

These are the stories you can batch ahead and even schedule to post on days you know you’re going to be busy. Use the content already in your camera roll (I know you have tons you haven’t posted!), and this is also where you’ll build trust, show your expertise, and softly position your services.

Start by mapping out a few topics you can rotate throughout the month. These don’t need to change constantly so choosing a few themes can make it easier to create stories around.  .

Here are a few themes I use with my wedding planning clients:

  1. Your personal thoughts on trends, traditions, or industry norms. 
  2. Behind the scenes authentic videos that show your creativity, the planning process and what it looks like to work with you on the wedding day itself. 
  3. Seasonal inspiration and what you’re seeing and loving in real weddings each season 
  4. Client experiences, share testimonials and video reviews from couples. 

 

Behind the scenes wedding day stories 

Behind the scenes content is especially important, because it’s what helps your audience understand your value and the expertise you bring to their wedding day. It’s all about showcasing how you think, how you work, how you problem solve and interact with others suppliers as well as your couple. 

You could post to Instagram stories: 

  • Why your unique wedding day timeline worked for your couple 
  • How you approach a venue walkthrough with your couple
  • Share the personal design details of this wedding 
  • Venue transformations in a ‘before vs after’ style video 
  • A video review from a fellow supplier 
  • A hour by hour recap of your role on a wedding day

This is the type of content that builds trust with your audience on Instagram without you needing to sell directly to your followers because they can see the value you bring to the table. They can see the level of care, thought, and expertise that goes into creating your weddings. Be sure to add a call to action at the end of these stories to promote engagement and enquiries too, these can be simple things like:

  • “Enquire through my website for more information”
  • “I would love to chat with you about your wedding plans, DM me”
  • “Would you consider X for your wedding?”

 

Your ‘on the go’ stories 

These are your Instagram Stories that happen in the moment and feel more spontaneous. This could be talking to a camera while you are in the car on a way to a wedding, sitting at your desk creating a wedding timeline, or sharing your ‘Wedmin Wednesday’ tasks you do for your clients. .

These types of stories are real, authentic, and in-the-moment, but to convert watchers into potential clients you need to add some context through text on screen or through the words you say to camera. 

For example:

  • A quick clip from a venue visit with a note on why the layout works or why you shortlisted this venue for your clients base don budget, location and guest count 
  • A moment from your office sharing your upcoming meetings but also share how you are flexible with client calls and fit in meetings around their busy schedules 

This is where your personality AND expertise comes through, and that’s what makes people connect with you.

 

Post a mix of Instagram stories

If you have time to plan ahead that’s great! Batch create some graphics, professional photos with text overlay or edit some BTS style videos and schedule them to go live. 

BUT also remember to post up-to-date stories about your day-to-day life as a wedding planner and your recent weddings. 

Remember lots of wedding planners neglect staying active on Instagram stories through the busy wedding season, but this is still when you’ll get enquiries coming through. So stay ahead this summer with stories!

 

What to post to Instagram stories on a wedding day

This is a question I get asked all the time and I know you are really busy and running around on a wedding day, so here are just a few video clips of the wedding I want you to film on your phone so you can post to stories later. 

First of all, I want to say that that’s completely okay if you don’t remember to film everything on a wedding day because that’s unrealistic and of course your first priority is your couple. 

So focus on posting just a few intentional stories from the day like:

  • Your journey to the wedding – packing the car, you getting a morning coffee, sharing your excitement for the day ahead 
  • A pan of the ceremony or reception space before the decor and florist arrives and after the space has been set up
  • A quick reflection at the end of the day about what went well, what stood out and what you loved most about the venue, design or guest experience
  • Talk through moments where you’re solving problems or coordinating behind the scenes, even better if it’s something couples don’t usually expect to be your responsibility but is

These Instagram stories show your value in real time and with real examples, something that’s amazing for converting couples into clients.
